How to Write a Professional Resignation Letter

A resignation letter is a formality - not a negotiation document, not a feedback form, not a place to process emotions. Its job is to confirm your last day, thank the company briefly, and leave the door open for a clean reference.
Most people either overthink it into a novel or underthink notice period and delivery timing - both create unnecessary friction on the way out.
Conversation first, letter second
Always tell your manager live (video or in person) before written notice goes to HR. The letter confirms what you already said; it should not be how your manager learns you are leaving.
Typical order:
- Manager conversation (same day you decide)
- Written resignation to manager + HR (same day or next morning)
- Team announcement per company norms (often manager-led)
- Transition plan discussion in following days
Skipping the live conversation damages trust even if the letter is perfect.
What to include

Adjust dates against your employment agreement - two weeks is common in the US but not universal.
What to leave out
- Detailed reasons for leaving (save for exit interview if you choose)
- Criticism of colleagues, leadership, or culture
- Counter-offer fishing language ("unless you match my offer…")
- Emotional venting or grievance lists
- Negotiation over bonus payout, PTO, or equity - handle separately with HR
The letter is permanent. Write like future reference checks will read it.
Notice period checklist
- Review contract for notice length and payout clauses
- Confirm last day accounts for holidays or shutdown weeks
- Align with new employer start date (do not assume they will flex)
- Ask HR how benefits end and COBRA timing works
- Clarify if garden leave or immediate walk-out applies (some roles)
If you are on visa or have clawback agreements, verify with HR or immigration counsel before giving notice.

No fake praise required. Neutral and clear beats bitter or glowing equally.
